Generally

Exhibition stands are nominally 3m wide x 2m deep. All stands have a nominal height of 2.5m (that is the height of the shell scheme), are supplied with a power socket and lighting, and in designing a stand designers must take account of the thickness of the shell. Exhibitors must make their own arrangements in advance for other equipment, although the contractor employed at the arena can assist, if contacted in advance. (Warwick Corporate Events, 0845 351 0392, e-mail exhibitions@wce.co.uk). Exhibition space is charged at £1,100. There is a refundable deposit of £150. In addition VAT is chargeable to this, and other prices quoted on this page. Plans for any exhibition stand which is not to be a standard shell must be with Warwick Corporate Events by the end of February. There are three non-standard stands of 4 square metres @ £750. Wi-fi access will be available in the arena for use on an ad-hoc basis. Exhibitors requiring dedicated bandwidth must make their own arrangements.

Accommodation

For 2011, we have a range of options. These are shown below.

For those who wish to travel daily, we provide tea, coffee, and lunch at £120 per person per day (option C/D) and for those who wish to book accommodation, we offer a special two night stay to include room, dinner, breakfast, tea, coffee, lunch and all entertainment, as provided to the delegates, in the same hotels as the delegates, (and this includes the Branch Annual Dinner) at a fee of £425 per person (option A). For 2011 we have a Thursday all day / Annual Dinner / Friday all day ticket at a price of £315 per person (option B). The above options are limited to two persons per exhibitor, and are not transferable. Further reservations may be made as a delegate from the delegate section of this site. PLEASE NOTE that exhibitors will be provided with rooms in any of the conference hotels (as detailed in the delegate section).

No matter which accommodation option is chosen, we provide a quiet room where work can be carried out away from the exhibition arena, and where tea, coffee and fruit juice is available all day, free of charge.

Vehicle parking

Parking is at a premium on this site. Residents only may park vehicles in the car park adjacent to the arena. However, these vehicles will be parked nose to tail and cannot be moved for the duration. Exhibitors will be allowed access to this area to unload equipment on Wednesday until 4.00 p.m. and may not return until 3.00 p.m. on Friday. Exhibitors must make their own arrangements for parking of their vehicles during the conference. For those exhibition staff not resident in the Palace we will provide a taxi service to allow all exhibition staff to travel from other hotels at the same time. In this way exhibitor vehicles can be left at the hotel at which they are staying, and so relieve congestion at the Palace.

Entertainment

We believe that people who enjoy their stay learn more and become more productive. We provide entertainment for delegates, exhibitors and speakers alike. Those who opt for the residential accommodation options are invited to join in.

Sponsorship

Many companies like the opportunity to publicise their products or services more widely than they can achieve through an exhibition stand alone. This can range from "advertising" items included within delegate packs to sponsorship of some major aspect of the conference. If you are interested in such options, please contact us.
